All four list pages in the Sales Hub — Contacts, Companies, Deals, Estimates — share the same search, sort, and bulk-edit toolkit. Learn it once, use it everywhere.
Searching
Top of every list there's a search box. Start typing and the list filters live as you type. What it searches across:
- Contacts — name, email, phone, mobile, job title, and company name.
- Companies — name, website, city.
- Deals — title, primary contact name, primary company name. (On the board view, empty stages stay so you can still see the structure.)
- Estimates — quote number, title, customer name, customer email, deal title.
Search is in the URL
Once you've searched, the URL has your search baked in. So you can bookmark a search (e.g. all contacts with “foreman” in the title) or paste it to a teammate.
Sorting
Click any column header on the desktop list view to sort by that column. Click again to reverse. The default sort for most lists is by Last Activity (most recent first), so the most-active records always sit at the top until you sort otherwise.
On a phone, lists become cards instead of tables; the sort is exposed via a small dropdown next to the search box.
Bulk editing
Select records with the checkboxes at the start of each row (or the “select all” checkbox in the header). As soon as one or more rows are selected, an action toolbar appears at the top of the table with these options:
- Reassign owner — change which teammate owns the selected records.
- Set status (contacts only) — change the lead status across all selected at once. Options: New, Working, Open Deal, Customer, Lost.
- Tag — apply a free-text tag to every selected record. Existing tags are preserved; duplicates are skipped automatically.
- Delete — soft-delete (records can be recovered for a short period). A confirmation modal appears first.
Up to 5,000 at a time
You can bulk-edit up to 5,000 records in one action. If your list is bigger, sort or filter first, then bulk-action the relevant subset.
Common workflows
- Reassign a salesperson's accounts — search by their name, sort by Last Activity, select all, click Reassign owner, pick the new rep.
- Cull contacts who've gone cold — sort by Last Activity oldest first, select the bottom 100, bulk-delete the truly stale ones.
- Tag a campaign list — search by city or status, select all matching, tag with “Spring 2026 outreach”. Filter by tag later to see who's been targeted.
- Drop below the 500 contact cap on free — select inactive locked rows, bulk-delete to free up slots.
Locked rows on the free plan
On the free plan, contacts above the 500 active cap appear with a small lock icon. They're still selectable, so you can bulk-delete them to drop below the cap, or upgrade to Pro to unlock unlimited contacts. See Free Sales Hub vs Pro.
