Once your mailbox is connected, you can write and send real email straight from the Sales Hub. The message goes out from your actual mailbox — your customer sees it in their inbox exactly as if you'd composed it in Gmail or Outlook. A copy lands in your sent folder, and a copy lands on the contact's Sales Hub timeline.
Opening the composer
On any contact, deal, or company detail page, click the Email button in the activity logger at the top of the middle column. The composer opens.
- To — pre-filled with the contact's email if you opened from a contact or deal. You can edit it.
- From — if you have more than one mailbox connected, pick which to send from. Otherwise it's hidden.
- Subject — type it in.
- Body — write the message. Your saved signature appears at the bottom automatically.
- Attachments — drag and drop files onto the composer or click the paper-clip icon.
Attachment limits
- Up to 5 attachments per email.
- Up to 10 MB per file.
- Up to 25 MB total for Gmail senders.
- Up to 3 MB total for Outlook senders (Microsoft's hard cap on outbound mail through their API).
Outlook 3 MB ceiling
If you're sending from an Outlook mailbox and your attachments together exceed 3 MB, the composer will warn you in red. Workarounds: switch the From dropdown to a connected Gmail mailbox if you have one, attach a link to the file in cloud storage instead, or send from Outlook directly.

We push the email through your connected mailbox.
It lands in the contact's timeline
Sent emails appear on the timeline immediately, threaded with any reply that comes in later.
It also lands in your real Sent folder
Open Gmail or Outlook and you'll see the same email in your normal sent items, just like if you'd composed it there. Replies go to your inbox.
What about replies?
Replies from your customer arrive in your real Gmail / Outlook inbox. They're also automatically logged on the contact's Sales Hub timeline within 5 minutes (or sooner if you click Sync now). Tips for going fast
- Set a good signature before you send the first email — see Setting up your email signature.
- Stay on the deal page when sending. The composer auto-links the email to the deal AND the contact, so it shows up on both timelines.
- Drag PDFs straight from Finder / File Explorer onto the composer rather than clicking the paper-clip — faster.
- For long custom messages, write in your normal email app and just send through the Sales Hub when you want it tracked. The composer is solid but it's not as feature-rich as Gmail / Outlook themselves.
