Connecting your mailbox is what turns the Sales Hub from a place where you type notes into a place where your customer conversations land automatically. Once you're connected, every email you send to a contact (and every reply they send back) appears on that contact's timeline — no copy-paste, no forwarding to a special address.
Pro and trial only

Where to connect
Open your manage menu, then Settings → Email. Full path: /manage/your-company/settings/email. Each teammate connects their own mailbox individually — your connection is private to you, your teammate connects theirs separately.
Connecting Gmail
Click Connect Gmail
We'll send you to Google's sign-in page.
Pick the right Google account
Even if you're already signed in, Google will ask which account to use. Pick the one you use for customer email — usually your work address.
Review the permissions
We ask for read access to your inbox, sent folder, and the ability to send mail. We never delete or modify your existing mail.
Click Allow
Google bounces you back to the Sales Hub and the connection is live. The first sync runs immediately and pulls in matching emails from the past 30 days.
Connecting Outlook / Microsoft 365
Click Connect Outlook
We'll send you to Microsoft's sign-in page.
Pick the right Microsoft account
Microsoft will show the account picker. Pick the one tied to your work mailbox.
Approve the permissions
Same set of permissions as Gmail — read your mail, send mail. No deletes.
You're connected
Microsoft sends you back. First sync runs and your contact timelines start filling in.
Outlook isn't compatible with all Microsoft accounts
Some Microsoft accounts (free personal accounts that started as Skype, Xbox, or MSN logins, and on-premises Exchange servers managed by IT) can't be reached by the email integration at all — Microsoft doesn't expose them to outside tools. If you hit this, see Troubleshooting an email connection.
What happens after you connect
- We pull in emails from your inbox and sent folder where the other party matches a contact in your Sales Hub.
- Each matching email shows up on that contact's timeline. Subject, body, date, sender / recipients.
- We re-check every 5 minutes for new mail. There's also a Sync now button on the email settings page if you don't want to wait.
Privacy: only matching emails are stored
We don't keep a copy of every email in your mailbox. We only store emails where the other party matches a contact you've added to your Sales Hub. Random newsletter, a cousin’s family update, an HR memo — none of it gets pulled in. If you delete the contact later, the emails on that timeline go with them.
Connecting more than one mailbox
You can connect both a Gmail and an Outlook (or two of either) on the same account. The composer will let you pick which one to send from when you send mail through the Sales Hub. Useful if you have a personal sales address AND a shared inbox you cover.
Disconnecting
Click Disconnect on the connection card. We immediately stop syncing and forget the access keys to your mailbox. Past emails already in your timelines stay (they're records, just like notes).
On trial expiry: paused, not disconnected
If your Pro trial ends and you don't upgrade, we pause email sync but keep your connection saved. Upgrade later and one click reactivates everything — no need to re-authorise Google or Microsoft.
